Safety Stratus

Safety Stratus is a modular health and safety management software system. Each module will be released over time starting with the Chemical Inventory and Biosafety, followed by Incident Management and Inspections.

Safety Stratus is fully integrated into Single-Sign on. That is, you will use your NetID and password to login as you would any other UTK system; however, you will need to be added to the system by EHS first. If you do not yet have access we have created a simple process to be added. If you are a brand new PI contact us directly at SafetyStratus@utk.edu to request the creation of your Group.

Sequence Module Notes
1 Chemical Inventory This will be the primary way chemical inventory data is stored, accessed, and maintained for all hazardous chemical owners.

Launched. Non-research units being integrated.

2 Biosafety
  • This module replaces iMedris for the management of the Institutional Biosafety Committee (IBC) registrations. iMedris is no longer in use.
  • This module is available to registrants with the UTK Institutional Biosafety Committee (UTK, UTIA, and GSM).
  • New registrations, third-year renewals, and any amendments that change that the research scope will use Safety Stratus.
  • Existing approved registrations that have not met their third-year renewal due date will be managed in SharePoint until their next third-year renewal. When an annual update arrives for these cases, the PI will be sent a an email notification with a link and instructions.

The transition is expected to be a progressive process. New applications launch: January 1, 2023. Current third-year renewals are being managed individually in the interim and the PI will be notified.

3 Asset Management This module will be use for the management and inspection of chemical fume hoods, portable fire extinguishers, and other critical safety equipment. It is currently in development.
4 Inspections & Observations  This module will allow EHS to perform many types of inspections, audits, and surveys. Tasks can be assigned, and completions can managed.

This will eventually replace systems such as iAuditor.

It is currently in development.

5 Incident Management  This module will allow EHS to manage many types of incidents and their respective corrective and preventative actions.

Campus community members could receive tasks based on findings.

Basic Organizational Structure

Content in Safety Stratus is organized by the university’s existing structure (college/department/unit/etc). The smallest unit is generally a research lab or a departmental unit. These are called “Groups“.

Request Access

In order to use Safety Stratus, you must first have been added to the system as a “General User“. If you are unable to login to Safety Stratus you will be provided a link to an access request form. EHS will process your access as soon as possible (generally within 1-2 working days). See button below if you need to request access.

Get Assigned a Role

Once you are established in the system you can be assigned a role, referred to as a “Roster Role“. Your group owner can assign your roster role, once you have access.

Roster Roles include:

  • Group Owner: generally a lab principal investigator (PI) or a supervisor of a distinct unit (such as a Foreman).
  • Group Manager: generally a person who reports to the Group Owner but has the authority to make changes to personnel and their roster roles in the system.
  • Researcher: a person who works in a lab setting. This encompasses any research staff, graduate assistants, undergraduate researchers, etc.
  • Staff: an employee in a non-research setting, such as Facilities Services, OIT, Parking and Transportation, etc.
  • Deans, Associate Deans of Research (ADRs), Department Heads, and Lab Safety Advocates (LSAs) have roster roles preassigned by EHS.

Once you have a role in a group you will have access and permissions relative to your roster role and your specific group.

Adding Locations (Building and Room numbers) to your Group

Locations have already been assigned to groups that possess chemicals. If you need additional rooms assigned to your group or any other room changes, please contact us at SafetyStratus@utk.edu and describe your change request.

If you are a new PI or Group Owner, please contact SafetyStratus@utk.edu with your lab/room locations, department, and NetID to set up a group prior to submitting an IBC registration.

A new system does not occur without challenges and questions, but we are here to help.

Gaining access to the system, does not give you access to all content. Your group owner will need to designate your group permissions. To request access to Safety Stratus you will need a valid NetID.

Send us an email detailing your lab/room location, department, and NetID. If you are not the Group Owner or Manager all requests must be verified.
